It requires the right combination of telephone skills, empathy, and ability to investigate to the root of their legal issues.
Job Description:
We are seeking a highly organized and detail-oriented individual to join our personal injury plaintiff's law firm as an Intake Supervisor. As the Intake Supervisor, you will play a vital role in acquiring new clients and ensuring a seamless intake process. The ideal candidate should possess exceptional communication skills, attention to detail, and the ability to work effectively in a fast-paced and team environment. You will be responsible for managing the intake professional team, overseeing the intake process, and achieving high conversion rates. High conversion rates are maintained by meeting key performance indicators (KPIs), achieving good conversion rates and promptly following up on leads, as well as successfully performing the below duties and responsibilities.
Our firm works on a hybrid remote schedule. This position can be fully remote, depending on experience and distance from our offices.
- Support the Intake team with daily tasks and workload management.
- Ensure accurate and prompt documentation of every potential client in our case management system, maintaining data integrity and confidentiality.
- Prioritize immediate contact with leads to provide a prompt response and capitalize on potential client interest.
- Collaborate with the intake team to implement efficient lead follow-up procedures, ensuring no lead is left unattended for an extended period.
- Conduct interviews with potential clients to gather essential information and assess the viability of personal injury claims.
- Guide potential clients through the intake process, effectively communicating the benefits of our legal services.
- Meet or exceed monthly goals for completed intakes and case documentation.
- Address potential clients' concerns or objections, aiming to overcome barriers to conversion and secure their representation.
- Escalate evaluation of potential client cases to senior intake staff or attorneys.
- Assist new clients with completing paperwork and ensure proper filing.
- Prepare intake paperwork and ensure appropriate forms are sent for signature.
- Assist with opening, reopening, and updating intakes in our case management system.
- Ensure proper handoff of new cases to the next department.
- Follow up with attorneys regarding referred cases and communicate with incoming attorney referrals.
- Perform other duties and special projects as assigned.
Requirements:
- Exceptional attention to detail and accuracy.
- Strong organizational skills.
- Conveys confidence on the phone.
- Can sets the tone and the pace of the client phone call.
- Shows empathy to clients and puts them at ease during their difficult time.
- Demonstrates exceptional customer service and communication skills, both in writing and verbal.
- Proficient in Microsoft Office and database entry.
- Inbound sales experience is a plus.
- Plaintiff personal injury experience a plus.
- Possesses the ability to adjust to constantly changing workloads.
